USI clinical deadlines: 6 weeks, one month, and the week-3 rule
The University of Southern Indiana's Preceptor Packet must be in 6 weeks before your rotation starts, while another handbook page says one month for site surveys and 4 weeks for reporting that you have no placement. Plan to the 6-week date, because it satisfies every version at once. After approval, clinical hours must begin by week 3 and continue weekly, never on university holidays or between terms.

USI's deadline figures side by side
USI's own documents give different lead times for clinical paperwork. The gap is only two weeks, but it moves the date on your calendar, and each statement counts from a slightly different starting point.

The 6-week rule has the longer pedigree: the 2019 edition of Form G used the same wording. The one-month and 4-week lines live on a separate handbook page. Where they disagree, the current handbook and the Nursing Clinical Coordinator decide for your term.
Which date to plan around
Plan around the earliest. A packet in 6 weeks ahead meets all four statements at once. A packet timed to the 4-week line meets one of them, and not the one printed on the form you are sending.
The starting points differ too. Form G counts from the rotation's start, the Clinical Experience page from the start of the course or semester, and the one-month line from the start of clinicals. For most students these fall close together, since hours begin in the first weeks of a course. When they differ, count back from whichever comes first.
Two of the four lines are really warning deadlines: the latest point at which USI wants to hear that you are stuck. Missing a paperwork date and missing a warning date are separate problems. If there is any real chance you will have no preceptor or no agreement contact 6 weeks out, tell faculty and the coordinator then, not later (what USI asks when you are stuck).

The handbook does not say which summer part of term the specialty III courses (NRSG 647, NRSG 637, NRSG 657) follow, so the table shows both summer starts. Work from the earlier one until your course listing settles it. Fall 2026 is already under way; for Fall 2027, count back from the registrar's calendar once your course dates post.
The week-3 rule and weekly hours
Paperwork deadlines get you approved; the week-3 rule governs the semester that follows. The handbook says clinical must begin by week 3 of a clinical course and continue weekly while you are registered for it. For Spring 2027 that means hours under way by the week of January 25.
The rule has two halves, and the second is easy to overlook. Starting late is one problem; going quiet for several weeks mid-semester is another. A preceptor who can only take you in a burst at the end of the term does not fit a rule that asks for weekly clinical time. Build a steady weekly pattern with the preceptor, and send the schedule to clinical faculty before you attend, as the handbook requires.
Weekly ceilings shape the plan as well. NRSG 647 lets FNP students practice 30 or more hours a week but never over 40, and the AGACNP courses allow up to 36 hours of clinical a week. Hours cannot all be squeezed into a late sprint, which is why an approval that lands in week 4 is a real problem, not a small delay (behind on hours).
Holidays, breaks and the gaps between terms
The blackout rule is one sentence: no clinical hours during university holidays or when courses are not in session. The second half matters most. You cannot bank hours in the weeks between Fall and Spring, or before a course opens, even with an approved preceptor who is ready to start. USI's 2026-27 calendar lists these closures and breaks:
- Fall 2026: Labor Day (Sep 7), Fall Engaged Learning Day (Sep 15), Fall Break (Oct 5-6), Thanksgiving (Nov 25-29), winter recess (Dec 23 to Jan 3); the term ends Dec 11
- Spring 2027: Martin Luther King Jr. Day (Jan 18), Spring Recess (Mar 8-13), university closed (Mar 26), Spring Engaged Learning Day (Mar 30)
- Summer 2027: Memorial Day (May 31), Juneteenth (Jun 18), Independence Day observed (Jul 5)
The calendar does not say how engaged-learning days and recess weeks apply to clinical courses. Ask course faculty how yours treats them before you promise a preceptor those dates, and build your weekly hours around the gaps. Note that in the standard summer session, week 3 opens on Memorial Day.
Approval before the semester does not let you start early. Hours count only while the course is in session.
Planning a year ahead
USI's NP specialty sequence runs Fall, Spring, Summer: NRSG 643, NRSG 645 and NRSG 647 for FNP, with the AGACNP and PMHNP courses on the same pattern. Each needs its own approved placement, so the 6-week marks fall roughly in early July, late November and late March or early April. That is three deadlines inside one year.
Earlier USI handbooks spelled out a longer runway. The 2023 and 2024 MSN and BSN-to-DNP handbooks told students to identify a possible preceptor in January or February for Summer and Fall clinical experiences, and to meet with the preceptor in March and April. The current pages do not repeat that timeline, but the logic stands: the search begins months before the paperwork deadline, not weeks.
The most useful single move is to plan all three specialty courses together. A preceptor willing to continue into the next course removes a whole search from the year, although each course still needs its own signed Preceptor Agreement. The clinical hours page shows what each course asks for.

Questions USI students ask
Is USI's preceptor paperwork deadline 6 weeks or 4 weeks?
Both figures appear in USI's own documents. Form G and the handbook's Clinical Experience page say 6 weeks; the University Clinical Requirements page says surveys should be finalized one month before clinicals and that you report having no rotation at least 4 weeks before the semester. Work to 6 weeks, which satisfies every version, and confirm with the Nursing Clinical Coordinator.
Can I do clinical hours over winter break at USI?
No. The handbook allows no clinical hours during university holidays or when courses are not in session. Fall 2026 ends December 11, winter recess runs December 23 to January 3, and Spring 2027 classes begin January 11. Hours for a Spring course start once that course is in session, and must begin by week 3.
What happens if my Preceptor Packet is late?
The handbook does not list a penalty, but the consequences follow from its rules: no clinical practice until the approval email arrives, and clinical hours must begin by week 3 of the course. A late packet eats into that margin. Tell course faculty and the Nursing Clinical Coordinator as soon as you know you will miss the date.
When should I start looking for a Spring 2027 preceptor?
Well before November 30, 2026, the date 6 weeks ahead of Spring classes. Older USI handbooks had students identifying a possible preceptor in January or February for Summer and Fall rotations, three to seven months ahead. A search that starts in late summer or early fall leaves time for a second option if the first falls through.
Do I have to send USI my clinical schedule?
Yes. The handbook says clinical schedules must be provided to clinical faculty before you attend clinical. Agree a weekly pattern with your preceptor that starts no later than week 3 and avoids university holidays, then send it to faculty ahead of your first day. Update faculty if the schedule changes, since rescheduled hours need course faculty approval.
