Need a preceptor fast for a USI clinical course
If your University of Southern Indiana rotation starts in 6 weeks or less and no preceptor is confirmed, work on two fronts this week: alert course faculty and the Nursing Clinical Coordinator, and widen the search to every kind of clinician USI allows for your track. First, work out how much time you really have
Count back from your course start date in myUSI. Form G sets a six-week lead time before the rotation, while one handbook page settles for one month or 4 weeks. For Spring 2027, the 6-week mark is Monday, November 30, 2026. The deadlines page sets out every version with 2026-27 dates.
Then look at the far end. Past the paperwork date sits a second line: USI expects your hours to be running by the third week of the course, then every week after. That leaves three situations, each with its own priority:
- More than 6 weeks out: you are on time. Search hard now so the packet goes in complete.
- Inside 6 weeks but before the term: the packet is late by Form G's measure. Tell USI now and keep searching.
- In the first two weeks of the course: the week-3 start is the line that matters. Speak to course faculty today.
This week: tell USI where you stand
USI wants to hear early. Step 9 on the Clinical Experience page sets a six-week warning: if you lack a preceptor, or lack a contact for the site's agreement, faculty or the Nursing Clinical Coordinator should hear about it that far ahead of the course. Inside that window the instruction still stands, so send the message now.
Write from your USI email to usi1nursing@usi.edu and copy your course faculty. Keep it short and factual:
- Your track, course number and term, for example
NRSG 653, Spring 2027 - Whether your employer offers any preceptor option
- Each practice or system you have approached, with dates and outcomes
- Any lead still waiting on an answer

Widen the search inside USI's rules
Under time pressure, students often search only among NPs they already know. For most tracks, USI allows a wider field:

Whatever their profession, each preceptor still has to be certified in their specialty, hold an unencumbered license where they work, bring twelve months or more of advanced-practice experience, and be neither a relative nor a partner. Your own license limits the map too: the site has to be in a state that has licensed you as an RN, without encumbrance, so a quick move across a state line only works if you are already licensed there (full preceptor rules).
Look first where the paperwork is lighter
When time is short, a fast yes is only half the answer; the other half is a fast approval. Three situations take whole steps out of USI's process:
- A facility that already has a current agreement with USI. Ask usi1nursing@usi.edu before a new request goes out; if one exists, there may be no new contract to wait on.
- A practice where the preceptor or owner also signs affiliation agreements, so the request and the signature sit with someone you have already met.
- Your employer, if it has a preceptor option. USI asks stuck students about exactly this, and the one limit it states is that a clinical placement cannot serve as orientation for your job (clinicals where you work).
None of these skips approval. They simply shorten the list of people who have to act before USI can approve.
Get your side of the packet ready now
Finish everything you control before you meet a preceptor, so their yes and the paperwork can happen in one visit:
- Update your CVOne page, current for this semester, with a professional photo, as USI's packet instructions ask.
- Type Part One of Form GYour license number and state, plus the course number, term and year.
- Request the Orientation PacketEmail usi1nursing@usi.edu for it today so it is ready to hand over.
- Know your weekly hoursTurn the course's clinical hours into a weekly figure that starts no later than week 3.
- Clear your complianceCheck that CastleBranch (DISA) shows every item approved and nothing expiring before the semester ends.
Then send the packet and the agreement request the day they are signed, typed, as PDFs, from your USI email (Form G, part by part).
If the semester has already started
Once the course is running, the week-3 rule sets the pace. Tell course faculty exactly where things stand, including any preceptor who has agreed but whose paperwork is still in review. Faculty can approve rescheduled hours when something unforeseen happens, and they can help most when they hear early. If the placement cannot come together in time, the handbook's withdrawal and incomplete rules come into play. The progression policy allows MSN, certificate and post-MSN DNP students a single withdrawal; BSN-to-DNP students may have two. Those are decisions to make with faculty rather than alone (when a missing preceptor delays graduation).

Questions USI students ask
Can a USI preceptor still be approved with less than 6 weeks to go?
USI asks for the Preceptor Packet 6 weeks before the rotation and does not publish what happens to a later one. Two things are fixed: nothing clinical happens before the approval email, and your hours need to be under way in the course's third week. Send a complete, typed packet as soon as it is signed, and keep the Nursing Clinical Coordinator informed.
Is it worth telling USI about a missing preceptor while I am still searching?
Yes. The handbook wants faculty or the Nursing Clinical Coordinator told six weeks before the course whenever a preceptor or an agreement contact is missing. Reporting it is not giving up; it lets the program help alongside your own search. Include the organizations you have contacted, and update them when something changes.
Can a physician be my preceptor if I cannot find a nurse practitioner?
In most USI tracks, yes. FNP students may work with primary care physicians in NRSG 643 and with specialty physicians in the later courses. AGACNP students may work with MDs or DOs in acute care. PMHNP students may work with a licensed psychiatrist, and otherwise only a PMHNP. Every preceptor must meet USI's license, certification and experience rules.
Can I do my clinicals in another state to find a preceptor faster?
Only where you already hold an unencumbered RN license, because USI requires one in every state where you do clinicals. Getting a new license takes time a short deadline rarely has. If you hold a multistate compact license or licenses in neighboring states, include those states in your search and tell course faculty where the site is.
